ANNUAL HOUSTON ASDA VENDOR FAIR

Thank you for your interest in participating in the annual Houston ASDA Vendor Fair. We are excited to have you! This year's Vendor Fair will be held on Wednesday, January 10, 2018 from 4:30-7:00pm. Below you will find the necessary information to register and select a sponsorship level. The registration process is now open, and will close Friday, December 1st.

It is highly recommended that you review the FAQ at the bottom of this page before beginning the registration process. If you have any questions regarding the Vendor Fair, please contact our Events Coordinator, Megan Short (megan.m.short@uth.tmc.edu).

As an organization centered around our students, UTSD Houston ASDA is committed to educating our members, serving the community, and supporting all aspects of organized dentistry. Part of our mission to educate members is to send a large number of students to national meetings such as ASDA Annual Session, National Leadership Conference, and district meetings. All contributions from our biggest fundraiser, the Vendor Fair, directly support this cause and our community service events.

Last year, UTSD Houston ASDA was thrilled to host 42 vendors at the Vendor Fair, including 7 platinum sponsors, 9 gold sponsors, and 26 base sponsors. A combined total of $30,600 was raised, which would not have been possible without our generous sponsors! We thank everyone who attended for the first time last year and those who continue to support our chapter from year to year. We truly appreciate your continued involvement with our school and students.

Platinum Sponsorship : $1050

  • First Priority Seating
  • Advertisement on souvenir cups - your company's name will appear on the beverage cups used/given away to all students at the Vendor Fair (students are encouraged to take these home)
  • All advertisements (E-mails, Facebook, Instagram, and TV monitors around school) seen by students and faculty will list Platinum sponsors leading up to the Vendor Fair
  • Listed on our website for an entire calendar year
  • Recognized as Platinum sponsor on map of Vendor Fair on the day of the event
  • Company description featured on student handout distributed at the Vendor Fair

Gold Sponsorship : $850  

  • Second Priority Seating
  • All advertisements (E-mails, Facebook, Instagram, and TV monitors around school) seen by students and faculty will list Gold sponsors leading up to the Vendor Fair
  • Listed on our website for an entire calendar year
  • Recognized as Gold sponsor on map of Vendor Fair on the day of the event
  • Company description featured on student handout distributed at the Vendor Fair 

Silver Level :  $700

  • ASDA will assign you a table in the order that you register

FAQ

Where is the Vendor Fair?

  • The Vendor Fair will be at the Cooley Conference Center adjacent to the University of Texas School of Dentistry.

 

Who is invited to the Vendor Fair?

  • All dental pre-doctoral classes (1st, 2nd, 3rd, and 4th years), hygiene classes (1st & 2nd), specialty departments, residents, and faculty members in the dental school are invited to the Vendor Fair. Furthermore, members of the Greater Houston Dental Society are also invited.

What time is the Vendor Fair?

  • January 10th, 2018 from 4:30-7:00pm. Most D3 and D4 students will be arriving at 4:30pm while most D1 and D2 students will be arriving by 5:00pm. Food and drink service will begin at 5:00pm.

What time can the Vendors start setting up?

  • Vendor check-in begins at 3:15pm.

Where should I park?

  • Each company will be given one parking validation pass upon check-in to park across E. Street from the school (please see map). When you park, keep the ticket that the machine gives you as you enter the parking lot, as you will need it to exit with the validation pass.

Can I drop my stuff off at the Vendor Fair before I park?

  • Yes, there is a circle drive adjacent to the Cooley Center that you may utilize to unload before parking. Come through the doors by the circle drive, sign in with the ASDA officers at the check-in table, and you may drop off your belongings at your assigned table before proceeding to the parking lot. 

What is a typical raffle/door prize item?

  • When students attending the vendor fair have visited with all of our vendors, they are entered in the raffle which takes place at 6:30pm. Our vendors generously donate a wide variety of items towards the raffle, ranging from intraoral cameras to iPads to restaurant or Amazon gift cards. Your company will be acknowledged with the raffle item before it is given away to a student.

Where should I send any packages for the Vendor Fair?

  • If you send any packages to the school, it is imperative that you e-mail Bristol Galbraith, one of our Events Committee members, at bristol.s.galbraith@uth.tmc.edu. Please include the estimated time of arrival and the number of packages that you are sending. We want to ensure there are no mix-ups and all of your packages are accounted for prior to the event.
